Outcome

Back from a week away, Abha Malpani Naismith had more than 9,400 unread Gmail messages. Claude couldn't act inside the connected inbox for them, so they switched to ChatGPT with Gmail connected. It analysed the inbox by sender, subject and category without opening emails, built a 'Safe List' of financial, legal, medical, school and travel mail never to touch without approval, and then helped archive, label, delete or unsubscribe in bulk. They archived or deleted more than 4,500 emails and reached inbox zero in about 30 minutes.

Analyze my inbox using only senders, subjects, labels, categories, and snippets. Do not read or open full emails unless I ask. Do not archive, delete, label, mark as read, or modify anything unless I explicitly ask you to.

Run this task now, exactly as written below. Everything you need is here, so start straight away and only stop if something required is missing or a rule below tells you to.

Goal: Clean up my inbox in safe stages, without touching anything important.

Fill in before running:
- My email account connected to the assistant: [ACCOUNT]
- Types of email I must keep (bank, legal, medical, school, travel, clients): [KEEP]
- How old something must be before it can be archived: [AGE]

Rules:
- Look only at senders, subjects, labels and snippets unless I say otherwise.
- Build a Safe List of emails never to archive, delete or mark as read, and show it to me before any action.
- Recommend the safest, biggest clean-ups first and wait for my OK on each batch.
- Archive rather than delete anything I might need later.
- Check facts that can change (prices, opening hours, dates, availability, rules) against the official source, and tell me anything you couldn't verify.
- Before each bulk action, tell me exactly how many emails it will affect and give me three examples.

Output: A summary of the inbox by category, the Safe List, and a numbered clean-up plan with the size of each batch.

You'll know it worked when: my inbox is down to emails that need me, and nothing on the Safe List was touched.

Before you finish: re-read my goal and constraints, check your answer against each one, and list anything you assumed or couldn't confirm.

  • A poster connected his Gmail and calendar to ChatGPT, then asked it to list all his subscriptions from his emails, unsubscribe from all but the ones he wanted, create deletion rules for the rest, and delete Promotions, Updates, Social and Trash. He says he deleted over 23,000 emails and made his inbox usable again, and ChatGPT told him when it was finished.

  • Faced with more than 23,000 unread emails, David Alonge asked Gemini in Gmail to 'Delete all unread emails from 2009 to 2022.' Within a few minutes the unread count dropped to about 8,000, a job Alonge expected would have taken weeks by hand.

  • With Claude connected to their Gmail, J. McLaughlin asked for a snapshot of the mailbox, then for the highest-volume promotional senders: years of store deals, grocery ads and app notifications. Claude pulled unsubscribe links and wrote Gmail search queries for each round of bulk deletion, which McLaughlin ran and confirmed in Gmail themselves. In one sitting they deleted more than 47,000 emails, over half the mailbox, and got the inbox down to five things that mattered.
